Submitting by Email

Grade report packets are to be completed and submitted to Kolbe Academy each semester by parents. When submitting by email it is recommended to create a student portfolio with work samples directly in Schoology first, then submit the portfolio links in an email to Kolbe. This reduces email size, streamlines the process, and gives you an archive of your child’s work samples that will be accessible for years to come.

The alternative is attaching multiple PDFs of work samples directly in an email to Kolbe, which will result in having to send multiple emails due to the large size. Plus, if your child has a full load of courses then it is difficult to keep everything organized this way. In this tutorial we will take you through the process of creating student portfolios and sending the final email to Kolbe Academy. We will go over seven steps:

Step One:

Create a new portfolio for each academic course

A - Login to Schoology (using your child’s username and password, not your own-this is important) then click on the profile photo in the upper right corner, then click on “your profile”.

B - Click on “portfolios” in the left column, then click on the button “new portfolio”.

C - In the title section, type the course name and year. In the description section, type “semester one (or two) work samples”.

 

Step Two:

Add work samples as portfolio items

A - Within a portfolio that you’ve created, click on “portfolio items” and choose how you want to add a work sample. At this time is not possible to add a work sample as “assignment submission” with all the correct info needed for Kolbe Academy. You may add the work sample as a file, link/url, or custom page. In this example we will add as a file so click on “file”, then find the work sample to add from your computer.

*In order to save a test, quiz or assignment from Schoology to your computer, click on “grades” at the top of the page, then “grade report” then find the desired submission and click on “view submission”. Then save it to your computer as a PDF or a webpage.

B - After the file is added it will appear under the portfolio items. Click on the submission to edit the title and description of the work sample.

C - Edit the title of the work sample. In the “description” section, type in the grade for that particular work sample.

Follow the previous two steps to create a new portfolio and add work samples for each academic course.

*Sample requirements will vary based on course designation. For courses with “K” designation, the exact sample requirements are listed in the course syllabus. For courses with no designation, any TWO written and graded work samples are required.

 

Step Three:

Publish the portfolios

A - Click on “portfolios” in the left column. You will see all the portfolios you have created.

B - Click the circle on the bottom right of each portfolio. This will allow the portfolio to be viewed by parents from the parent account. The circle will turn green to indicate that it has been “published”.

 

Step Four:

Create a new portfolio for each non-academic course

A - Create a new portfolio (as in step one) and label it with the non-academic course name and year. Click on “portfolio items” and choose how you want to add the work sample. On this example we will click on “page” to simply type a brief course description.

*Samples for all non-academic courses may be a brief description of the course, photos or sample artwork rather than written work samples.

B - Label your page title with the course name, then type “course description” in the description section. In the text box, describe the course and indicate how many hours per week were completed. Links and photos can be added directly to this page if you wish.

C - Create a new portfolio (as in step one) and label it Physical Education. Click on “portfolio items” then click on “page”.

D - Label the page title with the activity your child participated in, then type “description and frequency” in the description section. In the text box, describe the activity and indicate how many hours per week were completed. Links and photos can be added directly to this page if you wish.

* For the Mana Cum Laude diploma, four years (eight semesters) of physical education credits are required. About four hours per week fulfills the credit for one semester.

E - Create a new portfolio (as in step one) and label it Fine Arts. Click on “portfolio items” then click on “page”.

F - Label the page title with the activity your child participated in, then type “description and frequency” into the description section. In the text box, describe the activity and indicate how many hours per week were completed. Links and photos can be added directly to this page if you wish.

* For the Mana Cum Laude diploma, two years (four semesters) of fine arts credits are required. About four hours per week fulfills the credit for one semester.

 

Step Five:

Create a new portfolio for Kolbe Academy paperwork

Create a new portfolio (as in step one) and label it Kolbe Grade Report and Checklist. Within the portfolio, click on “file” to upload your completed grade report and checklist from Kolbe Academy.

Step Six:

Compose email to send to Kolbe Academy

A - Click on “portfolios” in the left column. This is what the completed portfolio page will look like.

B - Click on the three dots in the bottom right corner of a portfolio and then click “share portfolio”.

C - Copy the link.

 

D - Paste the links from each portfolio into an email to Kolbe Academy as pictured. For 9-11th grade, email to hsreports@kolbe.org. For 12th grade email to seniorreports@kolbe.org.

*Your child's report card will be processed within 3 weeks and returned to you via email from Kolbe Academy.

 

Step Seven:

How to view your child’s portfolio from your parent account

A - Login to Schoology using your parent username and password. Click on the profile photo in the upper right corner, then click “your profile”.

B - Click on the name of your child under contact information.

C - Click on “portfolios” in the left column. You will see all the student portfolios you’ve created.

*Note that student portfolios are “viewable only” from the parent account. You will not be able to upload, edit or copy links from within your parent account.
